This Privacy Policy explains the personal information we may collect, why we use it, how we protect it and the rights available to you.

For some processing activities, Solution Suppliers Limited is the data controller, meaning that we determine why and how personal information is used.
Where one of our customers uses BIMfusion to process personal information relating to its employees, project teams, contacts or other individuals, the customer will normally be the data controller and Solution Suppliers Limited will act as a data processor on that customer's instructions.
2. Information we may collect
Depending on your relationship with us, we may collect information including:
- your name and contact details;
- company or organisation;
- job title or role;
- telephone number and email address;
- BIMfusion account and authentication information;
- information relating to licences, subscriptions and customer accounts;
- enquiries, correspondence and support records;
- technical and diagnostic information required to provide and secure our services;
- information submitted through our website;
- information required for invoicing and administration; and
- information relating to your use of BIMfusion where required for support, security and service operation.
Customers may also enter personal information into BIMfusion as part of their own business and project-management activities. Where we process that information on behalf of a customer, we do so in accordance with our contractual obligations and the customer's instructions.
3. How we use personal information
We may use personal information to:
- provide, operate and support BIMfusion and our other services;
- create and administer customer and user accounts;
- authenticate users and maintain service security;
- respond to sales, support and general enquiries;
- investigate technical problems and provide customer support;
- administer licences, subscriptions, contracts and billing;
- communicate important information about our software and services;
- maintain records necessary for our business operations;
- improve the performance, reliability and usability of our products and services;
- comply with legal and regulatory obligations; and
- provide information about our products and services where permitted by law.
We only use personal information where we have an appropriate lawful basis. Depending on the circumstances, this may include performing a contract, complying with a legal obligation, pursuing our legitimate business interests or obtaining consent where consent is required. The UK GDPR requires organisations to identify an appropriate lawful basis for processing personal information.
4. BIMfusion customer data
BIMfusion enables organisations to manage business and project information, which may include information about employees, consultants, clients, contractors and other project participants.
Where this information is entered into BIMfusion by one of our customers, that customer will normally determine why the information is being processed and will therefore normally act as the data controller.
In these circumstances, Solution Suppliers Limited acts as a data processor and processes the information to provide BIMfusion and associated support services in accordance with the customer's instructions and our contractual obligations.
We may separately act as data controller for information required to manage the customer's BIMfusion account, provide technical support, maintain security and administer our commercial relationship.
5. Sharing information
We do not sell personal information.
We may disclose or make personal information available to carefully selected organisations that provide services to us, such as cloud hosting, communications, email, security and technical-support providers.
Where another organisation processes personal information on our behalf, appropriate contractual and data-protection arrangements are put in place.
We may also disclose information where this is necessary to:
- comply with a legal or regulatory obligation;
- respond to a court order or other lawful request;
- establish, exercise or defend legal claims;
- protect the security of our systems, customers or users; or
- investigate suspected fraud, misuse or unlawful activity.
6. International transfers
Some organisations involved in providing technology or support services may operate internationally.
Where personal information is transferred outside the UK in circumstances covered by UK data-protection transfer rules, we take appropriate steps to ensure that the transfer is lawful and that suitable protections are in place.
These may include UK adequacy regulations or appropriate contractual safeguards where required.
7. How long we keep information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing our services, supporting our customers and meeting legal, accounting, contractual and regulatory obligations.
Retention periods may vary depending on the type of information and our relationship with you.
Where Solution Suppliers Limited acts as a processor of information held within BIMfusion, retention and deletion will also be governed by our agreement with the relevant customer.
8. Security
We use appropriate technical and organisational measures to protect personal information against accidental or unlawful loss, alteration, disclosure, destruction or unauthorised access.
Our security arrangements are regularly reviewed as our systems and services develop.
No electronic system can provide an absolute guarantee of security, but protecting the information entrusted to us remains an important part of how we design, operate and support our services.
9. Personal data breaches
We maintain procedures for identifying, investigating and responding to personal-data breaches.
Where required by applicable data-protection law, we will notify the Information Commissioner's Office within the required period and will notify affected individuals without undue delay where the circumstances require us to do so.
10. Your rights
Depending on the circumstances and the lawful basis on which information is processed, you may have rights including:
- access to personal information held about you;
- correction of inaccurate or incomplete information;
- deletion of personal information;
- restriction of processing;
- objection to certain processing;
- data portability;
- withdrawal of consent where processing is based on consent; and
- the right to complain to the Information Commissioner's Office.
Rights are not absolute and may not apply in every circumstance.
Requests relating to your personal information can be made using the contact details below.
We will respond to valid requests without undue delay and normally within one month, subject to any extensions or exemptions permitted by law.
Where your request relates to personal information held in BIMfusion on behalf of your employer or another BIMfusion customer, you may need to contact that organisation directly because it may be the data controller responsible for that information.
11. Marketing communications
We may contact existing and prospective customers about products and services where we are permitted to do so.
You can ask us to stop sending marketing communications at any time by using the unsubscribe option provided in the communication or by contacting us.
Stopping marketing communications will not prevent us from sending essential service, account, security or contractual communications where appropriate.
12. Cookies and our website
Our website may use cookies and similar technologies required for its operation and, where applicable, for analytics or other functionality.
Where consent is required, we will ask for it before placing non-essential cookies or similar technologies on your device.
The ICO's general rule remains that organisations should explain what cookies do and obtain consent where required.
13. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our services, technology, business practices or legal requirements.
The current version and date of the policy will always be published on this website.
